Job Description

Position: SSO Programmatic and Administrative Support

Location: Atlanta, GA 30329

Schedule: Full Time 9:00am to 5:00pm

Job Summary:

IBEX IT Business Experts, LLC is seeking a Security Services Office (SSO) Programmatic and Administrative Support to assist the Centers for Disease Control and Prevention (CDC) Security Services Office. The individual will be responsible for all physical security, personnel security, and emergency response needs of the agency. The individual will provide programmatic and administrative support to senior management within the office as it relates to Key Performance Indicators, coordination of the Policy review process, and other administrative duties. The SSO Programmatic and Administrative Support shall participate in developing strategies to improve the functions and shall work with the COR to accomplish work within these activities.

Minimum Qualifications:

  • Must Have the ability to work in the United States
  • Ability to pass Federal Government security/background check

Minimum Certifications:

Bachelor's degree in Public Health, Business Administration, Communication or Public Administration and a minimum of 3 years of experience in a related field

Responsibilities:

Key Performance Indicators Tasks:

  • The SSO Programmatic and Administrative Support shall oversee the development of, maintenance of, and reporting of SSO's Key Performance Indicators (KPIs):
  • Review and analyze SSO's current KPIs for relevance and applicability to ensure that they are best at meeting the needs of the organization and its customers.
  • Recommend alternative strategies as they relate to SSO's KPIs.
  • Develop SSO's KPI portfolio. Work with key office leadership to identify KPIs and methods for measuring and reporting.
  • Monitor progress towards KPI goals. Work with key office leadership to ensure KPI goals stay on track and are being tracked and reported correctly. Provide regular updates to key office leadership on progress.
  • Re-evaluate, at a minimum of annually, the appropriateness of defined KPIs and their associated goals.

Coordination of the Policy Review Process Tasks:

  • Submit the current SSO policy to the respective subject matter expert to review the policy content and provide updates.
  • Format the policy to ensure compliance with agency standards and compliance with section 508 of the Rehabilitation Act of 1973 (29 U.S.C. 794d).
  • Submit the finalized policy for agency approval to the Management Analysis and Services Office (MASO) in accordance with established deadlines and guidelines.
  • Track the policy renewal dates and report progress until the updated policy is published by MASO.
  • Develop and maintain a log of all SSO policies and their respective owners.

Communication Support Tasks:

  • Develop, update, and monitor communication plans for the Security Services Office (SSO) programs including, but not limited to Physical Security, Personnel Security, and the Internal Emergency Management Branches.
  • Create and maintain internal web pages for CDC staff and stakeholders.
  • Create and distribute one-pagers, news articles, and media kits for external use with impacted stakeholders including Clifton Corridor partners, Druid Hills neighborhoods, and congressional delegates, upon request.
  • Create and distribute all internal CDC communications including daily announcements regarding internal emergencies, physical security, or personnel security impacts, closures, or delays on Atlanta-owned campuses; CDC Connects articles on all internal emergencies and physical security incidences including but not limited to one-pagers, PowerPoint presentations, etc. for senior CDC leadership and staff.
  • Be the main point of contact (POC) for SSO on all physical security, personnel security, and internal emergency communications and material deliverables with OSSAM's Office of Policy, Performance, and Communications (OPPC).
  • Develop and disseminate information, documents, materials, and messages through a variety of methods (SharePoint, email) within SSO.
  • Develop monthly SSO Director's newsletter in coordination with the SSO Director, Deputy Director, and Program Management Officer.
  • Develop content for OSSAM's Annual Report with input from SSO leadership, including Branch Chiefs. Coordinate all reviews and edits with OSSAM's OPPC.
  • Develop CDC Connects and Snapshot articles SSO programs and initiatives upon request.
  • Complete special ad hoc communications projects on an as-needed basis as they arise.
  • Provide SSO OD with support for all graphic communications including PowerPoint presentations, development of graphs, timelines, etc
  • Serve as the SharePoint administrator for the OD SharePoint site, which is an internal SharePoint site designed to strengthen and enhance internal communications within SSO. The SSO Programmatic and Administrative Support shall perform the following tasks after reviewing by SSO Program Management Officer:
  • Drafting content to post on the SharePoint site.
  • Posting content drafted by SSO and/or OSSAM OD staff on the site.
  • Identifying content that would be of interest to SSO staff.
  • Identifying opportunities to continuously improve the site.
  • Maintain, review, and improve SSO webpages for the OSSAM intranet.

Other Administrative Support Tasks:

  • Serve as a backup time clerk. When one or more assigned time clerk is unavailable to perform his/her duties, the SSO Programmatic and Administrative Support shall assist with any TASNet (or other system) requests or needs on behalf of SSO staff.
  • Input work orders into the Facilities Management System.
  • Input travel orders and vouchers into the CDC travel system to include providing each traveler with a folder with travel documents prior to departure.
  • Update travel report daily to include all travel processed for SSO.
  • Initiate and monitor requests in the Integrated Conference Approval Portal for SSO staff until approval is granted.
  • Initiate and monitor training orders and 1350 for training and registration payments for SSO staff until final certification upon completion.
  • Submit various help tickets to resolve system issues and follow up until the issue is resolved. Perform web-based content reviews. Upon receipt of Branch Chief approval, complete updates to web content on SSO web pages.
  • Serve as a backup for answering the SSO main phone line. Assign phone calls to the appropriate SSO staff and provide courteous and helpful customer service.
  • Prepare, edit, and format correspondence for SSO staff and leadership.
  • Provide logistical support for meetings, training, and annual workshop/summit.
  • Maintain inventory for SSO supplies.
  • Finalize presentations to include formatting, ensuring 508 compliance, and CDC branding.
  • Update SharePoint calendars, upload documents, and take meeting minutes.
  • Use fax, copier, and scanner.
  • Provide monthly print request tracking report for SSO.
  • Maintain office supply levels and initiate 1350 to replenish office supply items.
  • Enter invoices in the ICE system for contract officer representatives' approval.
  • Sort and distribute incoming and outgoing interoffice mail for SSO.

Monthly Progress Report:

  • The SSO Programmatic and Administrative Support shall provide a monthly progress report outlining recent tasks and achievements. The monthly progress reports should include, at a minimum:
  • * Accomplishments during the reporting period.
  • * Significant events regarding the contract.
  • * Deliverables/tasks that were submitted or are in progress.
  • * A list of any current or anticipated problems and proposed solutions

Work Environment:

This job requires work to be completed in an office setting using standard office equipment. The employee must occasionally lift or move office products and supplies, up to 50 pounds.

Appearance: All personnel shall be attired in business casual clothing for daily work. Attire worn should always ensure employees' safety from working conditions (long pants, appropriate shirts, and closed-toe shoes as required): on occasion, staff may be required to wear a business dress for certain activities.

The physical demands described here are representative of those that must be met by an employee to successfully perform the essential functions of this job.

While performing the duties of this job, the employee is occasionally required to stand; walk; sit; use hands to finger, handle, or feel objects, tools, or controls; reach with hands and arms; climb stairs; talk or hear. The employee must occasionally lift or move office products and supplies, up to 20 pounds.
