Position Summary | This position will be responsible for managing the day to day operations of the Medical Records unit, including being the first point of contact for 5 direct report employees. The Medical Records supervisor will be responsible for special case issues of the department, including transfers of ownership, record cleanup (duplication of clients and patients) and assisting in legal issues. This position will assist in training new users in navigating Vetview and Instinct (the medical records platforms for the hospital) and provide first level support for end users, such as login issues and basic functionality. As the data infrastructure and automation of the medical records process continues to evolve within the Veterinary Teaching Hospital, this position will impact and work to improve integrity of data and process efficiency. |
Knowledge, Skills, Abilities and/or Competencies | 1. Knowledge of information technology as it applies to medical records and hospital management. 2. Ability to utilize computer technology for all applications (Microsoft suite, VetView, etc.) in a manner that meets performance expectations. 3. Excellent communication, customer service, and interpersonal skills. Ability to maintain effective collaborative relationships with faculty, staff, clients, students, and other stakeholders. 4. Ability to apply knowledge of the standards, procedures, and regulations published by the Secretary of State that apply to medical records and knowledge of University System of Georgia Board of Regents document retention standards. 5. Proven experience in the effective management and development of an employee group. Skilled in the use of office management and supervision principles and procedures. 6. Retain, organize, and consistently focus on a large amount of detail and come to appropriate conclusions. 7. Function effectively in an environment of multiple and conflicting priorities and to arrive at effective decisions in short period of time. 8. Proven experience in learning and navigating records management software with preference to an animal hospital environment. |

Duties/Responsibilities | -Supervise daily workflow of the Medical Records team of Administrative Associates that provide the daily tasks of managing the lifecycle of a patient's medical record with the VTH. -reconciling/approving timecards and leave -assist with interviewing/hiring new employees -training new staff members -prepare and deliver performance evaluations -assist in performance management process in applying competency work standards in accordance with UGA/USG policies and procedures -assist in employee progressive discipline up to termination in the event it occurs |
